Return and Cancellation Policy
This Return and Cancellation Policy outlines the terms and conditions for cancelling lessons, rescheduling sessions, and requesting refunds for music tutoring services provided by Ximthorevork.
Return Period
For individual lessons, cancellations must be made at least 24 hours before the scheduled lesson time to be eligible for a full refund or rescheduling without penalty.
For multi-lesson packages, you have 14 days from the date of purchase to cancel the entire package and receive a full refund, provided no lessons have been taken. After 14 days or if lessons have commenced, the standard cancellation policy applies.
All cancellation requests must be submitted in writing via email or through our contact form.
Return Conditions
To be eligible for a refund or rescheduling, the following conditions must be met:
- Cancellation must be made within the specified timeframes outlined in this policy
- The cancellation request must be submitted in writing
- For package refunds, the request must be made within the return period and before lessons commence
- Proof of purchase may be required
We reserve the right to refuse refunds if these conditions are not met or if we suspect fraudulent activity.
Return Shipping Costs
As our services are primarily delivered in-person or through scheduled lessons, there are typically no shipping costs associated with our services. However, if you have purchased any physical materials or resources, return shipping costs for those items will be the responsibility of the customer unless the items are defective or incorrect.
Return Process
To cancel a lesson or request a refund:

- Provide your name, booking reference (if applicable), and reason for cancellation
- Specify whether you wish to reschedule or receive a refund
- We will confirm receipt of your request within 24 hours
- Refunds will be processed within 5-10 business days to the original payment method
For rescheduling requests, we will work with you to find an alternative lesson time that suits your schedule.
Non-Returnable Items
The following are not eligible for return or refund:
- Lessons that have already been completed
- Lessons cancelled less than 24 hours before the scheduled time (unless due to emergency circumstances at our discretion)
- Multi-lesson packages after the 14-day return period has expired
- Multi-lesson packages where one or more lessons have been taken
- Digital materials or resources that have been accessed or downloaded
- Services that have been fully rendered
In exceptional circumstances, such as medical emergencies or other unforeseen events, we may consider refunds or rescheduling on a case-by-case basis. Please contact us to discuss your situation.
General Legal Requirements
This policy complies with applicable consumer protection laws in England and Wales, including:
- The Consumer Rights Act 2015
- The Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013
- Distance selling regulations where applicable
Your statutory rights are not affected by this policy. If you believe your consumer rights have been violated, you may contact the relevant consumer protection authority.
Cancellation Policy
Student-Initiated Cancellations
Students may cancel lessons with the following terms:
- 24+ hours notice: Full refund or free rescheduling
- Less than 24 hours notice: 50% refund or rescheduling subject to availability (may incur a rescheduling fee)
- No-show: No refund, lesson is forfeited
Instructor-Initiated Cancellations
If we need to cancel a lesson due to instructor unavailability, illness, or other circumstances:
- We will provide at least 24 hours notice whenever possible
- You will receive a full refund or the option to reschedule at no additional cost
- We will make every effort to provide a substitute instructor if available
Emergency Cancellations
In cases of genuine emergency (medical emergency, family crisis, severe weather, etc.), we will work with you to find a fair resolution, which may include full refunds or rescheduling without penalty, subject to verification.
Refund Procedure
Refunds will be processed as follows:
- Upon approval of your cancellation request, we will issue a refund confirmation
- Refunds will be processed to the original payment method used for the purchase
- Processing time is typically 5-10 business days, though it may take longer depending on your payment provider
- You will receive email confirmation once the refund has been processed
For partial refunds on multi-lesson packages (where applicable), the refund amount will be calculated based on the number of unused lessons at the individual lesson rate, minus any applicable fees.
If you paid by cash, refunds will be issued via bank transfer or check, which may take additional time to process.
